VIR Shadowing Terms

Thank you for your interest in the shadowing Vascular and Interventional Radiology! We are excited to share our amazing specialty with you all! We've put together this program to provide a safe, inclusive, and respectful mentorship environment for our shadows, mentors, and moderators. Please review the following terms and conditions below prior to participating in our program.


Session sign-up

By default our session sign-ups are available to all verified users on our website and positions are offered on a first-come first-serve basis. However, our moderators reserve the right to curate participation in shadowing sessions to optimize the mentorship environment for shadows. As such, you may be prevented from signing-up, kicked from a session you have signed-up for, or not provided with log-in information up to the discretion of the session moderator.

Zoom link confidentiality

Moderators will send out a Zoom link for the shadowing session to users that have signed-up on the schedule page. Moderators do reserve the right to exclude certain users who have signed-up to create a safe and effective mentorship environment. The Zoom link invitation that is sent out is confidential, please do not share this link with other potential shadows.

Absence policy

If you sign up for a virtual shadowing session, and can no longer make it, please email us at least one day in advance of your session. If you sign-up for a session, we expect you to attend the session. If you miss a session without notifying our team, this takes a spot away from someone else that was interesting in attending. If this occurs, we reserve the right to prohibit you from signing up for future sessions.

HIPPA protection

Please keep in mind that the privacy of patient protected information (PPI) is paramount. Attendings and medical student will do their best to keep all presentation HIPAA compliant, however, in the off chance that some information is given for the sake of your education, it is expected that you will not discuss PPI with anyone outside of the session.

Shadowing credit

Credit for participation in our shadowing program will be given to students who have completed the requirements of our syllabus per the judgment of our student moderators. This includes attendance, active participation, and passing (>70%) the short quiz administered directly after the session. If shadows engage in conduct that is unprofessional or counter to the stated aims in the policy, they will not be provided shadowing credit despite attendance and passing the quiz. If you need a certificate of the hours you have accumulated or need other proof of shadowing hours, please email our team, and we will do our best to help you. The hours will be certified through the WCVIR organization.

Participation

We require all shadows to have web-cameras on and strongly encourage shadows to ask the presenting attendings/medical student moderators any questions you have. These sessions work best with a level of interaction between the attendees and the presenters. The physicians that signed up for these sessions are passionate about teaching and want to make sure you all are getting the most out of your attendance. They are not expecting you to be experts in the field, so feel free to ask any questions you have, no matter how basic they may seem. Chances are that other students in the session have the same questions!
